Why Email Should Be Your Primary Business Communication Channel (and WhatsApp Shouldn’t)

Introduction

WhatsApp is quick, convenient and part of everyday life in South Africa. It’s brilliant for a quick question, update or “I’ve just sent you something urgent” message.

But when it comes to actual work instructions, approvals, documents and deadlines, email wins.

Why? Because good business communication isn’t just about sending a message. It’s about being able to find it, understand it, action it and refer back to it later.

Here’s why I prefer clients to send work requests by email.

So, Should We Stop Using WhatsApp……? NO!

My favourite rule is simple:

Email the instruction. WhatsApp the notification.

For example:

WhatsApp: Hi, I’ve just emailed you an urgent request. Please have a look when you get a chance.

Email: The full instruction, deadline, attachments and everything needed to complete the work.

You get the speed of WhatsApp without sacrificing the organisation of email.

A Few Simple Email Habits Make It Even Better

Use a clear subject line so the email can easily be found again.

Keep communication about the same matter in one email thread where possible.

Attach the documents needed to complete the task, and clearly identify deadlines or urgent requests.

Most importantly, avoid putting half the instruction in email, the next bit in WhatsApp and the final change in a voice note.

That’s where things fall through the cracks.

The Bottom Line

Email isn’t better because it’s more formal. It’s better because it’s easier to organise, search, prioritise and refer back to.

WhatsApp is excellent for speed. Email is better for structure.

Used together, they’re a great combination — as long as each has a clear job.

So, if it’s something your VA needs to do, approve, remember or find again, put it in an email.

Because good admin isn’t about creating more rules.

It’s about creating systems that make it harder for things to fall through the cracks.
